Overview
This page explains how to see, export, correct, or delete the personal data we hold about you, and how we handle those requests. It is a practical companion to our Privacy Policy, which remains the authoritative description of what we collect, why we collect it, and how long we keep it. Where this page and the Privacy Policy differ, the Privacy Policy applies.
Uptraff Ltd ("Novitora", "we", "us", "our"), a company registered in England and Wales, is the controller of the personal data described here.
Requests are handled by people. Send your request to the email address given in the relevant section below. A member of our team will action it and confirm to you what we have done.
What data this covers
Account data
If you have a Novitora account, your account is created and managed through our authentication provider, Clerk, Inc. The account record holds your email address, account and authentication identifiers, and sign-in metadata. Clerk is listed in our Subprocessors page.
Files you convert
Files you upload for conversion, and the converted results, are deleted automatically on the schedule set out in the "Data retention" section of our Privacy Policy. They are not kept as a permanent library attached to your account, so in most cases there is nothing left to delete by the time a request reaches us.
Everything else
Support emails, log data, cookie and analytics data, and any other personal data we process are described in our Privacy Policy. A request made under this page covers all of it, not only your account record.
Your rights
Under the UK GDPR and the EU GDPR you have the right to access your personal data, to have it corrected, to have it erased, to restrict or object to how we process it, to receive it in a portable format, and to withdraw consent where we rely on it. The full description of each right, and its limits, is in the "Your rights and choices" section of our Privacy Policy.
You do not have to give a reason for your request, and exercising a right does not cost you anything in normal circumstances.
Managing your account
You can view and change your profile details, email addresses, sign-in methods, and active sessions at any time from your account settings at novitora.com/account. Changes you make there take effect immediately and do not need a request to us.
Deleting your account
How to ask
Send an email to privacy@novitora.com from the address registered to your Novitora account, with the subject line "Account Deletion Request". Tell us the email address on the account so that we can locate it.
What deletion removes
- The account record itself and the personal data held with it by our authentication provider: your email address, account and authentication identifiers, and sign-in metadata.
- The link between that account and any data we still hold, so that the remaining data no longer identifies you through your account.
What deletion does not remove
- Data we are required by law to keep, and data we need to establish, exercise, or defend a legal claim. We keep the minimum necessary for as long as that obligation lasts.
- Records we retain under the retention periods in the "Data retention" section of our Privacy Policy, such as support correspondence and log data. Ask us in your request if you want those erased as well, and we will tell you what we can remove.
- Aggregated or anonymised analytics data, which no longer identifies you and cannot be linked back to your account.
- Residual copies held in backups, which are overwritten on their normal cycle.
After deletion
Account deletion is permanent. We cannot restore a deleted account, its settings, or its history, and we will confirm to you by email once the deletion has been carried out.
Requesting a copy of your data
Send an email to privacy@novitora.com with the subject line "Data Access Request". Tell us the email address on the account and, if it helps, which data you are interested in.
We will send you the personal data we hold about you in a structured, commonly used, and machine-readable format. If you want us to send it to another provider instead, say so in your request and we will do that where it is technically feasible.
Correcting or restricting your data
Most profile details can be corrected directly in your account settings. For anything you cannot change yourself, or to ask us to restrict or stop a particular use of your data, email privacy@novitora.com and describe what you would like changed.
Requests about someone else
If you are making a request on behalf of another person, tell us who you are, who you are acting for, and on what basis (for example, a written authority or parental responsibility). We may need to see evidence of that authority before we act. Parents and guardians can also read the "Children's privacy" section of our Privacy Policy.
Identity verification
To protect your data, we need to be reasonably satisfied that a request really comes from you before we act on it. Sending the request from the email address registered to the account is normally enough. Where it is not, we may ask you for further information to confirm your identity, and we will ask only for what we need.
How long we take
We respond to requests within one month of receipt. Where a request is complex, or where you have made several requests, we may extend that period by up to two further months; if we do, we will tell you within the first month and explain why.
If we cannot act on part of your request, we will tell you which part and why. The limits that can apply are set out in the "Limitations" section of our Privacy Policy.
If you are not satisfied
If you are unhappy with how we have handled your request, tell us first at privacy@novitora.com so that we can try to put it right.
You also have the right to complain to the UK's data protection regulator:
Information Commissioner's Office (ICO) Wycliffe House, Water Lane Wilmslow, Cheshire SK9 5AF United Kingdom Website: https://ico.org.uk Telephone: 0303 123 1113
If you are in the European Economic Area, you may instead complain to the supervisory authority where you live, where you work, or where the alleged infringement took place.
Reporting abuse
This page is for requests about your own personal data. To report content or behaviour that breaches our Acceptable Use Policy, including content you believe to be illegal, write to abuse@novitora.com instead. That policy explains how we review reports and what action we take.
Changes to this page
We may update this page as our services and our tooling change, and we will amend the "Last Updated" date above when we do. Material changes to how we handle personal data are announced through our Privacy Policy.
